Post session, Dr. Lawrence will utilize an additional 30 plus minutes to complete necessary paperwork to complete the client’s clinical assessment note.

Payment
Payment is due at the beginning of each appointment. Caring Minds Psychology accepts credit cards and HSA/FSA cards as well as require a valid, non-expired credit card to be kept on file. If you have an outstanding balance you will not be allowed to schedule additional appointments until the account is made current.
Cancellation Policy
Once an appointment is scheduled, payment is required at the beginning of the appointment. If you cancel less than 24 hours before your scheduled appointment time or fail to attend without notice, you will be charged the full session fee. This charge will be processed to your credit card on file.
Arriving Late to Your Session
Please note that arriving late to your session will reduce the time available for treatment within your scheduled appointment time and you will be charged the full session fee. Punctuality helps us maintain the continuity and effectiveness of your care.
Does Caring Minds Psychology Accept Insurance?
Caring Minds Psychology does not accept insurance, and do not directly bill insurance companies for my services. All fees are due at the time of service.
If you have a PPO insurance plan, you may be eligible for reimbursement for part (or all) of the fees paid to out-of-network providers. Caring Minds Psychology will provide a superbill that you can submit to your insurance company for potential reimbursement, if this is a benefit that is provided to you.
Please note that you must initially pay out of pocket for services before insurance provides any potential reimbursement. Not all PPO insurances offer out-of-network benefits, so please be aware that it is your responsibility to contact your insurance company to obtain further information about any potential out-of-network benefits.
Before starting therapy, Caring Minds Psychology encourages you to contact your insurance provider to learn more about your out-of-network mental health benefits and reimbursement options.
What should I ask my insurance company before starting therapy?
Here is a quick checklist to help you verify your out-of-network benefits:
- Does my plan include out-of-network mental health benefits?
- What is my deductible and has it been met?
- What percentage of the session fee is reimbursed?
- How many sessions are covered each year?
- What forms or information are required to submit a claim?
- How do I submit my superbill—online or by mail?
- How long does reimbursement processing take?
Can I get reimbursed for Caring Minds Psychology services?
Possibly. Many PPO insurance plans offer reimbursement for out-of-network mental health services. Caring Minds Psychology will provide a superbill that includes all the information your insurance company needs to process a claim. Reimbursement depends on your specific insurance plan.
What is a superbill?
A superbill is a detailed receipt that lists the services provided, fees, and diagnostic codes. You can submit it to your insurance company to request reimbursement for your therapy sessions.
How do I submit a superbill?
Most insurance companies allow you to submit claims online through your member portal or by mail. Check your plan’s website or call the number on your insurance card for instructions. Always keep a copy of your superbill for your records.
Can you guarantee reimbursement?
No. Reimbursement depends on your specific insurance plan. Caring Minds Psychology encourages you to confirm your benefits directly with your insurance company before beginning therapy
Good Faith Estimates
You have the right to receive a “Good Faith Estimate” explaining how much your medical and mental health care will cost. Under the law, health care providers need to give patients who don’t have insurance or who are not using insurance an estimate of the expected charges for medical services, including psychotherapy services. You have the right to receive a Good Faith Estimate for the total expected cost of any non-emergency healthcare services, including psychotherapy services. You can ask your healthcare provider, and any other provider you choose, for a Good Faith Estimate before you schedule a service. If you receive a bill that is at least $400 more than your Good Faith Estimate, you can dispute the bill. Make sure to save a copy or picture of your Good Faith Estimate. For questions or more information about your right to a Good Faith Estimate, visit www.cms.gov/nosurprises or call (800) 985-3059.
Electronic Communication & Social Media Policy
While many common forms of communication are convenient, they can compromise your privacy and can be inconsistent with the legal requirements and professional ethical standards of my profession. Therefore, this policy has been established to protect the security and confidentiality of your treatment while ensuring compliance with ethical and legal requirements.
To protect your privacy and maintain confidentiality, at Caring Minds Psychology we do not use electronic communication for clinical matters. Email and text messaging are only used, with your consent, for administrative purposes such as scheduling, billing, or other office-related matters. Please do not send messages about your therapy or clinical concerns via email or text. If you need to discuss a clinical issue, please call the office or wait until your scheduled session. Telephone and telehealth conversations provide a secure and confidential way to address clinical matters.
At Caring Minds Psychology we do not communicate with clients through social media platforms. If a therapist inadvertently connect with a client online, the therapist will terminate that connection to maintain professional boundaries and protect confidentiality.
Working with Families
Parental Consent and Divorce/Custody Matters
As a psychologist, Dr. Lawrence recognize the importance of parental involvement in a child’s psychological treatment. In all cases, Dr. Lawrence require consent from both parents for psychological treatment with a minor. If your child is from a divorced or separated family and there is documented sole legal custody, confirmed by court order, psychological treatment may be authorized by the parent holding sole custody.
My Role and Scope of Practice
Dr. Lawrence will not provide custody evaluations, make recommendations regarding custody or visitation arrangements, or prepare clinical documentation for court proceedings. Dr. Lawrence respectfully request your agreement that neither parent will call me as a witness in custody or divorce related matters.
Dr. Lawrence will support co-parenting efforts. With written permission from both parents, she will communicate with court-appointed mediators. Dr. Lawrence will speak only to issues related to the child’s well-being and issues within my clinical scope as the psychologist of the child. Dr. Lawrence will not serve as an evaluator of parental behavior or capacity.
Access to Treatment Records
Both parents will have full access to their child’s clinical records. Except in cases where sole legal custody has been documented and confirmed by a court order. In such cases, only the parent with sole legal custody will have access to their child’s clinical records.
Payment and Communication
Treatment fees are due at the beginning of each appointment and will be collected from the parent attending the session with the child. It is the responsibility of both parents to communicate with each other about their child’s treatment progress, appointments, or any other pertinent information. This collaborative approach supports the child’s treatment outcomes.
